Normalize every price or quote to the same period. Keep values supplied by a vendor separate from buyer inputs, and keep unknown fields blank instead of turning them into zero.

The first-year figure is a modeled period, not necessarily an invoice total. For a six-month contract it uses six months. For a 24-month contract it uses the first 12 months. Upfront multi-year payment timing is outside the model unless you enter it as a one-time cost.

Enter employee count, recruiter seats, active jobs, expected annual hires, implementation, migration, recurring integrations, add-ons, support, and contract length. Use the vendor's unit price or full quote at its stated monthly or annual cadence.

Five pricing models in this guide change the math

The billing meter determines the core subscription. Billing cadence is separate: an annual-billing monthly equivalent is not a month-to-month offer.

Flat pricing can still contain usage ceilings. Per-user pricing grows with paid seats, while per-employee pricing can move with the whole workforce. Per-job pricing needs a precise definition of an active job.

Hidden ATS costs belong in the same model

Subscription price is only one budget line. Separate one-time implementation and migration from recurring integrations, add-ons, support, and usage charges. This prevents a low license number from masking a high first-period cost.

  • Implementation: configuration, workflow design, permissions, testing, and training.
  • Buyer labor: project management, data preparation, stakeholder review, and change management.
  • Migration: extraction, cleanup, mapping, attachments, historical records, and validation.
  • Integrations: setup or recurring charges for HRIS, identity, calendar, assessment, background-check, and job-board connections.
  • Add-ons and usage: AI credits, texting, video, assessments, checks, premium postings, and overages.

The Growth team's five seats at $150 produce a $750 core. A per-employee model would produce the same core at $3 per employee across 250 employees, but the two models diverge as seats and headcount change.

Talent acquisition software pricing may span several contracts: job advertising, sourcing databases, assessments, background checks, video interviews, scheduling, recruitment CRM, onboarding, analytics, enrichment, and integrations.
