Frequently asked questions

What does a wedding planner do?

A wedding planner is a professional who assists with the design, planning, and management of a client's wedding. Their duties can vary significantly, depending on the needs and preferences of the couple, but typically include the following:

Consultation: The wedding planner initially meets with the couple to understand their vision for the wedding, including their preferred theme, colors, style, and budget. They discuss the couple's tastes, the level of formality they want, the size of the wedding, and any other specific requirements they may have.

Budgeting: Wedding planners help the couple create a realistic budget for their wedding. They ensure that the couple understands the costs involved with different aspects of the wedding and helps them allocate their budget effectively.

Vendor Coordination: They source, negotiate with, and book suitable vendors such as caterers, florists, photographers, videographers, musicians or DJs, and others. They'll also coordinate with these vendors on the wedding day to ensure everything runs smoothly.

Venue Selection: The planner assists in finding and booking a suitable venue for the ceremony and reception. They'll consider factors like the size of the guest list, the location, the style of the wedding, and the couple's budget.

Timeline Development: They create a detailed timeline for the planning process, as well as a schedule for the wedding day itself. This ensures that everything is done in a timely manner and that the wedding day events flow smoothly.

Design and Décor: Based on the couple's vision, the planner helps design the wedding décor, including table arrangements, lighting, and other aesthetic details. They usually work closely with the florist, the venue, and other professionals to bring this vision to life.

Guest Management: This can include assisting with the creation and sending of invitations, managing RSVPs, arranging accommodation and transportation for out-of-town guests, and coordinating seating arrangements.

Rehearsal Coordination: The planner usually coordinates the wedding rehearsal, ensuring that the members of the wedding party know their roles and that everything is ready for the big day.

Day-of Coordination: On the wedding day, the planner is typically on-site to oversee the setup, coordinate with vendors, handle any issues that arise, and ensure that the event runs smoothly and on schedule.

Contract Understanding: They review all contracts with vendors to ensure all services are provided as agreed upon.

In essence, a wedding planner is responsible for ensuring that the couple's vision for their wedding is realized, while removing as much stress from the process as possible. They are problem solvers, facilitators, mediators, money managers, and artisans, all rolled into one job.

What are the skills of a wedding planner?

Being a wedding planner requires a combination of practical and interpersonal skills. Here are some of the key skills that a successful wedding planner needs:

Organizational Skills: Wedding planning involves juggling a lot of details and coordinating multiple vendors. Planners need to be highly organized to keep track of everything and ensure nothing falls through the cracks.

Time Management: A wedding planner must manage a strict timeline for both the planning process and the actual wedding day. They need to ensure all tasks are completed on schedule.

Budgeting: A key part of wedding planning is helping the couple create and stick to their budget. This requires a good understanding of costs and the ability to negotiate with vendors to get the best value for the client.

Communication and Interpersonal Skills: A wedding planner spends a lot of time meeting with clients, communicating with vendors, and coordinating with other service providers. They need to be able to communicate effectively and establish good relationships with a wide range of people.

Negotiation: A good wedding planner is able to negotiate effectively with vendors and venues to get the best deals for their clients. This requires good persuasion and problem-solving skills.

Creativity: Wedding planners often help with the design and décor of the wedding. They need a good eye for style and color, and the ability to think creatively to bring the couple's vision to life.

Problem-Solving Skills: No matter how well you plan, unexpected issues can arise during the wedding planning process or on the wedding day itself. A good wedding planner is able to think on their feet and find quick solutions to problems.

Attention to Detail: From the flowers to the seating plan, the success of a wedding often lies in the details. Wedding planners need a keen eye for detail to ensure that every element of the wedding is perfect.

Calm Under Pressure: Wedding planning can be stressful, and the wedding day itself can be particularly high-pressure. A good wedding planner remains calm and composed even when things get hectic.

Customer Service: Above all, wedding planning is a service industry. A good wedding planner is focused on meeting the needs of the couple, ensuring their satisfaction, and making their wedding day as special and stress-free as possible.
