Inbound Logistics & Receiving Coordinator

Step Into the Flow: A Day in the Life

As our Inbound Logistics & Receiving Coordinator, you are the first quality and accuracy gate between suppliers and production. Your day begins on the dock confirming what arrives matches what we expect, and ends with production teams fully supported by precise inventory and clean documentation.

Morning: Turning Deliveries into Ready-to-Use Inventory

  • Open the dock and assign doors so carriers can unload efficiently, prioritizing based on production and warehouse needs.
  • Visually inspect shipments from suppliers, vendors, and transportation partners; verify condition and count.
  • Match receipts against purchase orders, packing slips, manifests, and bills of lading; capture any shortages, damages, or discrepancies.
  • Coordinate quick resolution of issues with Purchasing, Quality, carriers, and suppliers; initiate return-to-vendor (RTV) when required.
  • Label, organize, and stage materials to designated locations to keep material flow uninterrupted.

Midday: Locking in Inventory Integrity

  • Post accurate receipts and transactions in the ERP and inventory systems to maintain traceability.
  • Update receiving schedules and inbound/outbound transportation plans to stay aligned with production.
  • Maintain well-structured records: invoices, packing slips, manifests, and other shipment documents for accounting, compliance, and audit use.
  • Track and manage documentation for damaged goods and shipment discrepancies.
  • Support cycle counts, audits, and reconciliation activities to ensure inventory accuracy.

Afternoon: Coordinating the Operation

  • Serve as the central point of contact for receiving-related inquiries and escalations.
  • Communicate delivery status, schedule changes, and shipment requirements with carriers and suppliers.
  • Maintain records of approved and potential transportation carriers for operational and audit purposes.
  • Verify conformance of incoming materials against quality standards and specifications; provide documentation to auditors as needed.
