Step into a role where you keep complex, civil construction projects moving with precision. As the central hub for contract paperwork, document control, and cross-team coordination, you will support Project Engineers, Accounting, and field leaders to ensure every administrative piece arrives on time and in the right place.
You start by preparing subcontracts and job setup packages, then align due dates with project schedules. Throughout the week, you manage drawings and project files in Bluebeam, Spectrum, and HCSS; schedule material deliveries and watch quantities to keep reports accurate; and collect invoices, tickets, and receipts from the field.
You reconcile what was received, enter it into the accounting system, and double-check entries for accuracy. You order safety and office supplies, keep communication flowing with vendors, suppliers, and subcontractors, and answer accounting-related questions. You also support certified payroll processing, monitor insurance requirements, and maintain DBE documentation.
To close out the week, you compile production and pay estimate reports, capture and track action items from weekly meetings, respond to documentation requests, and guide administrative coordination across multiple projects—always maintaining a steady bridge between field and office teams. Other duties arise, and you tackle them with resourcefulness.
Ability to sit for extended periods as well as stand, walk, and occasionally lift up to 25 pounds. Frequent computer and office-equipment use requiring fine motor skills and good hand–eye coordination. Must be able to visit construction sites, navigate outdoor conditions, and maintain the stamina and mobility needed for meetings and site visits.
