Receiving Coordinator – Duties and Responsibilities (Manufacturing)
The Receiving Coordinator plays a vital role within a manufacturing environment by ensuring accurate receipt, inspection, documentation, and storage of raw materials, components, and finished goods. This position supports uninterrupted production operations, maintains inventory integrity, and ensures compliance with quality, safety, and regulatory requirements.
Core Responsibilities
1. Receiving and Inspection of Shipments
Visually inspect incoming deliveries from suppliers, vendors, and transportation carriers.
Verify shipments against purchase orders, packing slips, manifests, and other supporting documentation to ensure accuracy.
Identify, document, and report any shortages, damages, discrepancies, or non-conforming materials.
Coordinate the resolution of receiving issues with suppliers, carriers, Purchasing, and Quality teams as needed.
2. Inventory Management and Material Control
- Ensure received materials are properly labeled, organized, and stored in designated inventory locations.
- Maintain accurate inventory records by updating ERP, or other inventory management systems.
- Monitor inventory transactions to ensure traceability and inventory accuracy.
- Assist in cycle counts, audits, and inventory reconciliation activities when required.
3. Documentation and Reporting
- Accurately process and maintain receiving documentation, including invoices, packing slips, manifests, bills of lading, and other shipment records.
- Record and report shipment activity to support accounting, auditing, compliance, and operational requirements.
- Manage documentation related to damaged goods, return-to-vendor (RTV) shipments, and shipment discrepancies.
- Maintain organized records in accordance with company policies and audit requirements.
4. Coordination and Communication
- Collaborate with Purchasing, Production, Logistics, Quality Assurance, and Warehouse teams to ensure timely material availability and issue resolution.
- Coordinate daily inbound and outbound
transportation schedules to support operational needs.
- Communicate with carriers and suppliers regarding delivery status, scheduling, and shipment requirements.
- Serve as a central point of contact for receiving-related inquiries and escalation of issues.
5. Quality, Safety, and Compliance
- Verify that received materials meet established quality standards, specifications, and company requirements.
- Ensure compliance with all company safety policies and procedures while performing receiving activities.
- Follow applicable hazardous material handling and storage procedures when required.
- Support internal and external audits by providing accurate receiving records and documentation.
6. Operational Support
- Manage daily receiving dock operations to facilitate efficient material flow throughout the facility.
- Maintain and update receiving schedules to align with production and warehouse requirements.
- Assign dock doors and coordinate unloading activities to ensure timely processing of incoming shipments.
- Maintain records of approved and potential transportation carriers for operational and audit purposes.
- Support continuous improvement initiatives focused on safety, efficiency, inventory accuracy, and process performance.
- Ensure all kanban is being followed.
