Industrial Installation Project Coordinator

Location: Sterling Heights, Michigan
Schedule: Day shift contract; standard 6:00 a.m. start
Compensation: Approximately $27.00 per hour

What your day looks like

At 6:00 a.m., you open the day’s plan: projects assigned, travel lined up, and site teams ready to go. You create and organize folders, confirm documentation is filed, and sync with project managers and site leaders on manpower and timelines. Before lunch, you’ve submitted travel requests, issued advances, and finalized line‑ups so every installer, programmer, and inspector heads to the field with exactly what they need. In the afternoon, you approve time and expenses, host a quick review with site and project teams, and jump on a call about an international border letter. If a site needs a tool trailer or office trailer stood up, you’re there to coordinate—or to jump in on‑site when it matters. And one week a month, you’re the on‑call point so the work never stalls.

Your impact

  • Own each assigned installation project from kickoff to field completion, with the understanding that projects may be reassigned at your supervisor’s or manager’s discretion.
  • Build the required folder structure within the current installation directory and maintain it using the established naming conventions.
  • Attend project kickoffs; scan and file all materials in the directory and share complete documentation with any assigned site leader.
  • Issue site data sheets to the project manager; collect and file returned details (site needs and all contacts) in the installation directory.
  • Join manufacturing kickoffs; archive all supplied documents and forward them to the assigned site leader as applicable.
  • Collaborate with the project manager and site leader (when assigned) to develop the installation plan and manpower strategy.
  • Process and file installation work packages; build and maintain a contact list aligned to the work plan and schedule.
  • Coordinate placement of Manufacturing (Mechanical, Electrical, Pipe), Applications (PLC Programmers, Robot Programmers, Weld Engineers), and Quality (Inspection and Safety) personnel to field installations and integrations.
  • Create and submit travel request forms per current procedures; process, submit, and issue travel advances in line with the current submittal process (as needed throughout the project).
  • Prepare international travel paperwork (border letters, copies of POS, visas).
  • Produce hard copy and electronic line‑ups for all assigned personnel, including: installation work package; timesheet/expense and service report package; travel allowance and mileage chart; site information sheet; directions; travel itineraries; safety documentation; drug screen; proper PPE; and any additional required information.
  • Partner with site leaders to maintain duration charts, contact lists, and travel details for site personnel.
  • Process travel changes in accordance with current procedures.
  • Process and approve employee and contingent worker time in the STEP system; review and approve related expenses.
  • Schedule and/or lead meetings with site and project teams covering manpower, open issues, travel needs, work plan reviews, and line‑ups.
  • Attend or conduct kit buy‑off reviews.
  • Assist and/or supervise setup of gang boxes, tool trailers, and office trailers.
  • Issue service releases for office trailer rentals, golf carts, equipment repairs, equipment rentals, and other site materials or services.
  • Travel to sites as needed to assist site leaders with setting up machine shop trailers, office trailers, and miscellaneous on‑site requirements.
  • Support the installation supervisor/manager in updating or revising departmental procedures and forms.
  • Process all time and expense adjustments for assigned projects.
  • Participate in a 24‑hour emergency on‑call rotation (rotated weekly).

Qualifications

  • Associate’s degree from a two‑year college or university.

Leadership scope

  • Supervise up to 5–10 employees.
  • Carry out supervisory responsibilities in alignment with organizational policies and applicable laws.
  • Train employees; plan, assign, and direct work; address complaints; and resolve problems—often serving as a site leader in the field.
