Warehouse Billing and Dispatch Coordinator

If you thrive on organizing details, solving problems fast, and making sure every invoice and load is spot-on, this role is for you. You’ll blend customer support, dispatch touchpoints, and billing accuracy to keep operations humming.

What you will handle

  • Invoice integrity: verify each bill, maintain files for outstanding invoices, and build aging receivable reports.
  • Cross-team processing: partner with warehouse clerical staff and corporate to process and collect client invoices.
  • Production scheduling support: monitor inventory, track loads, and evaluate factors that could impact timelines.
  • Daily data discipline: enter data promptly and produce time-sensitive reports.
  • Driver coordination: check drivers in/out, print BOLs and outbound details, capture release numbers, destinations, and trailer numbers, and assign dock doors.
  • Customer care: manage orders, inventory control coordination, and material handling requests while handling calls and correspondence.
  • Issue resolution: tackle inquiries and close the loop on problems.
  • Reporting for action: prepare customer delivery reports and communicate trends proactively.
  • Supplier partnerships: identify, develop, and manage vendor relationships to hit cost, quality, and delivery targets.

Must-haves

  • High school diploma or GED.
  • 2 years of customer service experience.
  • Working knowledge of Microsoft Office; strong overall computer skills; Office 365 and AS400 familiarity is a plus.
  • High-speed, high-accuracy data entry.

Language

  • Ability to read, write and speak English proficiently is required.
  • Spanish is preferred (required in some markets).
