Founders Associate

About the Role

A fast-growing AI-powered SaaS company in the voice automation space is looking for a Founders Associate to work directly alongside the CEO. This is a high-impact, on-site position in Vienna where you will own Finance and Recruiting end-to-end, drive operational excellence, and build scalable processes across the business. You will be a strategic partner to leadership — not a back-office executor — and will take full accountability for key initiatives.

What You'll Do

  • Serve as a strategic and operational right hand to the CEO, providing ad-hoc support on cross-functional priorities.
  • Own Finance: cashflow management, forecasting, and investor-ready reporting.
  • Act as the primary interface with external accounting and tax advisors.
  • Research, apply for, and report on grants and public funding opportunities.
  • Build and optimize finance processes and automations.
  • Develop and maintain KPI dashboards and investor reporting frameworks.
  • Build a scalable recruiting pipeline; run active sourcing and candidate screening.
  • Design and manage hiring campaigns and employer branding initiatives in collaboration with Marketing & Design.
  • Coordinate internal process building in Notion and other tools to improve structure and efficiency.
  • Plan and execute company events such as offsites and team gatherings.
  • Take full ownership of operational projects from initiation to completion.

What We're Looking For

Must-haves:

  • 3+ years of experience in startups, scale-ups, or consulting with demonstrated operational responsibility.
  • Proven hands-on experience with finance processes: cashflow management, forecasting, and investor reporting.
  • Experience building and scaling a recruiting pipeline, including active sourcing, screening, and end-to-end process ownership.
  • Experience planning and executing hiring campaigns and collaborating on employer branding.
  • Strong analytical skills with a precise, detail-oriented approach to work.
  • Ability to translate complex topics into repeatable, scalable processes.
  • Proficiency with Notion, Excel/Google Sheets, and automation tools (n8n or Make.com), or a strong demonstrated ability to learn them quickly.
  • Native-level German and strong English communication skills.
  • Willingness to work on-site in Vienna (relocation support provided).

Nice-to-haves:

  • Experience with SaaS KPIs and financial modeling in a SaaS context.
  • Grants management experience (research, submission, and reporting).
  • Event management experience (offsites, team events) as part of an operations role.
  • Familiarity with advanced automation workflows beyond baseline tooling.

Compensation & Benefits

  • Salary range: $55,000 – $80,000 annually (USD equivalent).
  • Relocation package available for candidates moving to Vienna.
  • High-ownership role with significant growth potential as the company scales.

Location

This is a fully on-site role based in Vienna, Austria. Candidates must be willing to work from the Vienna office. A relocation package is offered for those relocating.
