Talent Acquisition Operations Coordinator

At Creative Personnel, you connect candidates, employees, clients, and internal teams while keeping daily office operations humming. You will source exceptional talent, steward them through screening and onboarding, and ensure our systems and records are precise and compliant.

A day in the role

Morning could start with reviewing web leads and updating the ATS, followed by syncing with Marketing to launch a new social campaign. Late morning you may screen applicants, build interview questionnaires or aptitude tests, and coordinate background checks and drug tests. After lunch, you process I-9s, finalize onboarding documentation, and enter payroll information and job orders into the ATS. You might close the day with a retention visit at a client site, preparing for an upcoming job fair, or connecting with your community outreach partners as we aim for 8 volunteer events and 100 Google Reviews this year. When needed, you flex before or after standard hours to support candidate and client needs.

What you will do

  • Continuously build and maintain candidate pipelines through sourcing, networking, and community engagement
  • Research and propose creative sourcing strategies; partner with Marketing to promote roles across online platforms and social media
  • Review and follow up on web leads to grow the ATS; create and maintain accurate pipeline records
  • Plan, attend, and host job fairs; participate in networking events
  • Drive rigorous screening and hiring quality by designing interview questionnaires and aptitude tests
  • Review resumes and provide candidates with guidance and feedback
  • Coordinate and conduct screenings, interviews, follow-ups, background checks, and drug tests
  • Lead onboarding including compliance training, documentation, and meticulous record keeping
  • Administrative excellence: intake and double-check applications; complete I-9s; file and maintain records
  • Enter and maintain applications and job orders in the ATS; ensure accuracy of data at all times
  • Collaborate with Payroll by entering employee payroll information into the ATS
  • Safeguard sensitive and confidential information; uphold policies and employment law compliance
  • Support client and employee retention with attendance/absence follow-ups, timeline documentation, and in-person quality check visits

What you bring

  • High school diploma or equivalent preferred; associate or bachelor’s in HR, business administration, or related field a plus
  • 2-5 years of experience in staffing or a related field
  • Fluent in English and Spanish required
  • Customer-service mindset with excellent communication and interpersonal skills
  • Outstanding organization and multitasking with the ability to manage competing priorities in a fast-paced environment
  • Proficiency with Microsoft Office and ATS or HR software
  • Professionalism in handling confidential and sensitive information

Schedule and compensation

  • Full-time, Monday to Friday, with weekends and before/after-hours as needed
  • Travel to client job sites and other branches as needed
  • Pay rate: $20-$22/Hr. based on experience
