Office Assistant

POSITION SUMMARY

The Office Assistant provides essential day-to-day support for our Petersburg facility by helping maintain efficient office operations and delivering administrative support to the Human Resources and Supply Chain teams. This role requires strong organization, professionalism, attention to detail, and the ability to manage multiple priorities in a fast-paced manufacturing environment.

ESSENTIAL FUNCTIONS

To perform this job successfully, an individual must be able to carry out each essential function satisfactorily, with or without reasonable accommodation, while adhering to plant-wide safety, ergonomic, and environmental requirements.

  • Serve as the primary point of contact for internal and external customers by screening and directing calls, greeting visitors, processing mail, and supporting general front-office communication.
  • Manage the site badging system.
  • Coordinate inbound deliveries, pickups, and vendor interactions.
  • Coordinate and send emails and schedule updates for assigned areas.
  • Coordinate meetings, appointments, interviews, and related scheduling arrangements to support efficient daily operations.
  • Maintain physical and electronic filing systems, enter and update data accurately, input work orders, prepare materials, initiate digital training, assist with office supply ordering, expense reporting, invoice processing, and create purchase orders as requested.
  • Assist with functions, through scheduling and set-up/breakdowns, stock supplies, and coordinate with employees as needed.
  • Generate reports, tracking, emails, and follow ups as needed for assigned tasks.
  • Other tasks as requested.

Key Skills & Qualifications:

  • Demonstrates strong verbal and written communication skills with a professional, customer-focused approach.
  • Organizes multiple priorities effectively, meets deadlines, and adapts to changing business needs.
  • Uses Microsoft Office and standard office equipment proficiently; experience with administrative systems, data entry tools, and other integrated software suite (SAP) is preferred.
  • Handles sensitive and confidential information with discretion and professionalism.
  • Brings prior front-office or clerical support experience; experience supporting Human Resources or Supply Chain functions is preferred.

  • Successfully pass a pre-employment drug screening and background check.
  • Lift, push, and pull up to 25 pounds.
  • Stand and move throughout the department during the shift as needed.
