Read This First

This is an expert-level role. We are not building a training runway. You will own the compliance layer from day one, with no one reviewing your I-9s behind you. If your experience is in collecting documents for someone else to verify, or you have covered onboarding paperwork without owning work authorization tracking and immigration coordination, this role is not the right fit and we would rather tell you now than at the offer stage. Compliance errors here carry legal and financial consequences, so we are hiring for judgement that is already formed.

About the Role

You will own the paperwork and compliance layer sitting behind every consultant we place from our Trivandrum office: work authorization verification, onboarding documentation, contract paperwork, and audit-ready record-keeping. This is a role for someone who reads the fine print, chases the missing document, and does not let an expiry date slip past.

What You Will Own

Onboarding & Documentation

  • Run end-to-end onboarding for US consultants and employees — offer paperwork, background checks, drug screening coordination and start-date readiness
  • Independently complete and verify Form I-9, manage E-Verify cases including tentative nonconfirmations, handle reverifications and correct errors on existing files
  • Validate right-to-work documents, education and employment verifications without escalation
  • Maintain personnel files to inspection standard with correct retention schedules

Work Authorization & Immigration

  • Own work authorization tracking and expiry control across USC, GC, H1B, H4 EAD, L2 EAD, OPT/CPT and TN populations
  • Coordinate directly with immigration attorneys on LCA postings, public access files, H1B amendments, transfers and extensions
  • Flag upcoming expiries early and drive renewal follow-up to closure — no lapses

Contracts & Engagement Paperwork

  • Prepare and control employment agreements, MSAs, NDAs, right-to-represent forms and subcontractor documentation
  • Own W2, C2C and 1099 engagement setup and vendor onboarding paperwork
  • Maintain a clean contract repository with full renewal and expiry visibility

Compliance & Reporting

  • Own multi-state compliance: state registrations, workers compensation, unemployment claims and state wage and hour requirements
  • Run FLSA exempt and non-exempt classification reviews, and EEO-1 and ACA reporting inputs
  • Support timesheet, payroll and invoicing data accuracy in coordination with finance
  • Own documentation readiness for internal reviews and client, vendor or agency compliance audits
  • Keep HRIS and ATS records accurate, current and audit-defensible

Non-Negotiable Requirements

  • 5+ years in US HR operations, US staffing compliance or HR shared services supporting US clients
  • Independent, hands-on ownership of I-9 and E-Verify — including reverifications, tentative nonconfirmations and correcting existing file errors. This is the core of the role
  • Direct ownership of work authorization tracking across H1B, H4 EAD, OPT/CPT, GC and TN, with expiry follow-up driven to closure
  • Hands-on coordination with immigration attorneys on LCA postings, public access files or H1B amendments
  • Working command of US federal and multi-state employment compliance applied in real decisions
  • Independent preparation of US engagement paperwork — MSAs, NDAs, right-to-represent, and W2 / C2C / 1099 setup
  • Strong Excel skills and fluency in HRIS or ATS platforms
  • Precise written and spoken English for unsupervised contact with US consultants, client HR teams, agencies and attorneys
  • Available for US shift hours from Trivandrum
  • Graduate degree in HR, Commerce, Law or a related field; HR or compliance certification is a strong plus

Strong Advantages

  • Prior experience at a US staffing firm, RPO, EOR or PEO
  • Exposure to MSP / VMS portals such as Fieldglass, Beeline or IQNavigator
  • Experience preparing for I-9 audits, SOC 2, ISO or client compliance audits
  • Track record of finding and remediating compliance gaps that had passed prior review
