Personally welcome incoming guests: check-in support, key handover, orientation.
Manage on-site guest payments & damage deposit collection.
Act as the primary on-the-ground contact for guest inquiries, emergencies, and concierge requests.
Uphold Madestays’ guest satisfaction standard (95%+ 5-star reviews).
Represent Madestays with property owners during viewings, handovers, and operational updates.
Conduct detailed property condition assessments for new and existing homes.
Manage turnover schedules across the portfolio - assign and coordinate housekeepers and contractors.
Inspect and enforce 5-star housekeeping and furnishing standards, conducting spot-checks post-turnover.
Post-check-out reporting: log damages, defects, and service requests.
Source, vet, and negotiate with contractors across plumbing, electrical, carpentry, and general maintenance.
Manage inventory of linens, consumables, and amenities; troubleshoot urgent turnovers.
Lead property onboarding inspections to identify required upgrades and compliance needs.
Scope renovation projects: prepare cost estimates, obtain quotes, and negotiate contractor terms.
Oversee project timelines, budgets, and quality control to ensure delivery to Madestays’ brand standards.
Liaise with property owners throughout renovation or upgrade projects, providing regular progress updates.
Track budget vs. actual maintenance spend per property.
Reconcile on-site cash collections (deposits, pet fees, extras) with the finance team.
Provide regular owner reports on property performance, guest feedback, and financial updates.
Ensure compliance with all health & safety, fire, and short-let licensing requirements.
Maintain property records: certificates, insurance, maintenance logs.
Act as the on-site lead for incident management, escalating issues promptly and appropriately.
2+ years in property management, hospitality operations, or high-end residential leasing.
Proficiency with Guesty, Asana, G Suite (bonus: Duve, Notion, Canva).
Strong organizational skills - able to juggle turnovers, contractors, and guest requests seamlessly.
Excellent communicator: polished, clear, and professional with guests, owners, and contractors.
Acute attention to detail - you notice the small things others miss.
Basic financial acumen: comfortable with budgeting, invoicing, and reconciliations.
Familiarity with dynamic pricing platforms or revenue-management concepts.
First-aid, health & safety, or fire-marshal training.
