Sales Coordinator (Transportation)

*Full-Time | Monday–Friday, 8:00 AM – 5:00 PM, Onsite positon*

We are looking for a highly organized and collaborative** Customer Service** **Sales Admin **to support a transportation sales team. This role is ideal for someone who enjoys working with data, coordinating across teams, and ensuring a smooth process from order to delivery.

What You’ll Do

  • Review vehicle sales and purchase files to ensure all required documentation is complete
  • Process orders through internal approval workflows and submit purchase orders to vendors
  • Track and manage orders using internal systems and logs, ensuring accuracy and timely updates
  • Communicate with vendors and internal teams to confirm orders, resolve discrepancies, and follow up on outstanding items
  • Create and manage purchase orders, sales orders, and work requests within company systems
  • Support the preparation of proposals, bid packages, and required customer reports
  • Assist with processing invoices, rebates, and procurement documentation
  • Partner with sales and operations teams to coordinate order status and delivery schedules
  • Participate in weekly production meetings and contribute to continuous process improvement
  • Follow company policies, procedures, and safety guidelines

What Success Looks Like (Key Metrics)

  • Process customer orders within 24 hours with a high level of accuracy
  • Ensure timely processing of manufacturer rebates
  • Maintain accurate delivery scheduling in collaboration with internal teams
  • Deliver reliable and accurate weekly/monthly reporting

What We’re Looking For

  • 2–3 years of experience in administrative, customer service, or coordination roles
  • Strong organizational skills and attention to detail
  • Comfortable working with data, reports, and multiple systems
  • Proficiency in Microsoft Office (Word & Excel)
  • Experience with ERP/CRM systems (such as NetSuite) is a plus
  • Strong communication and problem-solving skills
  • Ability to manage multiple priorities in a fast-paced environment
