Real Estate Compliance & Transaction Coordinator

About the Role

We are seeking a highly detail-oriented Real Estate Compliance & Transaction Coordinator to support our growing U.S.-based real estate compliance operations. This role is responsible for managing transactions from contract to close, ensuring all files meet compliance standards, deadlines are tracked, and documentation is complete and audit-ready.

This is a fast-paced, process-driven role requiring strong organizational skills, proactive communication, and the ability to manage multiple transactions simultaneously.

Key Responsibilities

Transaction Management

Manage real estate transactions from intake through closing and post-close

Create and maintain organized transaction files in the system

Track and manage multiple files at various stages

Compliance Review

Review contracts, disclosures, and addenda for accuracy and completeness

Ensure all required signatures, dates, and documents are collected

Identify and follow up on missing or incorrect documentation

Maintain compliance checklists for each file

Deadline & Timeline Tracking

Monitor key contract deadlines (inspection, financing, appraisal, closing, etc.)

Send reminders and proactively follow up with agents and stakeholders

Escalate potential delays or compliance risks

Communication & Coordination

Act as liaison between agents, lenders, title companies, and internal teams

Provide clear updates on file status and outstanding items

Ensure timely resolution of compliance conditions

Pre-Close & Post-Close

Conduct final compliance audit prior to closing

Ensure all documents are complete and accurate

Finalize files post-closing for compliance and archival

Required Qualifications

1–3+ years of experience in real estate transaction coordination, compliance, or administrative support

Strong attention to detail and accuracy

Excellent written and verbal English communication skills

Ability to manage high volumes of work and meet deadlines

Highly organized with strong follow-up skills

Preferred Qualifications

Experience with real estate transaction platforms (e.g., Dotloop, SkySlope, or similar) [zipform especially]


Familiarity with U.S. real estate contracts and closing processes [NJ especially]

Experience supporting U.S.-based real estate teams

Technical Requirements

Reliable high-speed internet connection

Quiet, professional remote work environment

Proficiency in Google Workspace or Microsoft Office
