Relocation Specialist

About the Role

We are seeking a highly detail-oriented and proactive Real Estate Relocation & Compliance Coordinator to support our growing U.S.-based real estate operations team. This role is responsible for coordinating relocation referrals, managing transaction and compliance processes, and ensuring a seamless experience for agents and clients from intake through closing.

Key Responsibilities

Relocation Coordination & Client Experience

  • Serve as the primary point of contact throughout the relocation process, ensuring a smooth and positive experience for clients, agents, and referral partners
  • Coordinate, assign, and manage incoming referrals with accuracy, urgency, and clear communication across all stakeholders
  • Monitor referral progress and maintain proactive follow-ups to ensure timelines, expectations, and service standards are consistently met
  • Anticipate potential challenges and implement proactive solutions to prevent service disruptions
  • Build and maintain strong professional relationships with agents, clients, lenders, title companies, referral partners, and internal teams
  • Provide ongoing guidance, coaching, and support to relocation agents to drive service excellence and operational consistency

Transaction Management

  • Manage real estate transactions from intake through closing and post-close processes
  • Create, organize, and maintain transaction files within internal systems and platforms
  • Track multiple files simultaneously across various transaction stages while ensuring accuracy and completeness

Compliance Review

  • Review contracts, disclosures, addenda, and supporting documentation for completeness and compliance accuracy
  • Ensure all required signatures, dates, and documents are properly collected and maintained
  • Identify missing or incorrect documentation and follow up with agents or stakeholders for resolution
  • Maintain compliance checklists and ensure files remain audit-ready at all times
  • Ensure adherence to internal processes, compliance standards, and documentation requirements

Deadline & Timeline Management

  • Monitor key contract deadlines, including inspection, financing, appraisal, and closing timelines
  • Send reminders and conduct consistent follow-ups with agents and stakeholders to avoid delays
  • Escalate potential compliance risks, missing documentation, or transaction delays as needed

Communication & Operational Support

  • Communicate professionally and effectively through phone, email, and internal communication platforms
  • Provide timely updates regarding file status, outstanding items, and compliance conditions
  • Maintain thorough, accurate, and real-time documentation of all communications, activities, and transaction updates across multiple systems
  • Support operational reporting, data tracking, and analysis to provide business insights and support decision-making
  • Contribute to team initiatives, process improvements, and special projects that enhance operational efficiency and service delivery
  • Foster a collaborative, high-performance team environment

Required Qualifications

  • 1–3+ years of experience in real estate transaction coordination, relocation coordination, compliance, or administrative support
  • Strong attention to detail and high level of accuracy in documentation and file management
  • Excellent written and verbal English communication skills
  • Ability to manage high workloads, prioritize tasks, and meet deadlines in a fast-paced environment
  • Strong organizational, multitasking, and follow-up skills
  • Ability to work independently while collaborating effectively with cross-functional teams

Preferred Qualifications

  • Experience with real estate transaction management platforms such as Dotloop, SkySlope, ZipForms, or similar systems
  • Familiarity with U.S. real estate contracts, compliance requirements, and closing processes, particularly in New Jersey (NJ)
  • Experience supporting U.S.-based real estate agents, brokerages, or relocation teams
  • Previous experience in relocation coordination, referral management, or client services operations

Technical Requirements

  • Reliable high-speed internet connection
  • Quiet and professional remote work environment
  • Proficiency with Google Workspace and/or Microsoft Office Suite
  • Comfortable working across multiple systems, CRMs, and communication platforms simultaneously
