A growing education services organization is seeking a highly organized, adaptable, and detail-oriented Administrative Assistant to support employee scheduling and day-to-day operations.
The company works with educational institutions to provide qualified support staff and is looking for someone who can help ensure employees are scheduled appropriately based on qualifications, availability, and operational needs.
The successful candidate will have strong problem-solving and communication skills, the ability to work independently with minimal supervision, and a collaborative approach to working with employees and school partners.

Manage and coordinate complex employee scheduling operations.
Match Paraeducator candidates with school assignments based on student needs, qualifications, experience, and placement goals.
Monitor and respond to employee call-outs and make timely schedule adjustments to maintain coverage.
Identify and coordinate substitute employees using existing employee data and availability.
Communicate with employees through email and the company phone line regarding schedules, assignments, training, and operational needs.
Use Google Sheets and Deputy scheduling software to accurately create, update, and maintain schedules.
Maintain accurate, organized, and confidential employee records.
Schedule employees for required training and assist with onboarding new hires.
Provide employee support related to training compliance and requirements.
Review and assist with employee timecard approval and ensure scheduling and timekeeping information is accurate.
Troubleshoot scheduling challenges and proactively identify solutions to prevent coverage issues.
Collaborate with internal team members to ensure smooth daily operations and strong school partner satisfaction.
Previous experience in administrative support, scheduling, operations, recruiting, staffing, or a related role.
Strong organizational and time-management skills with excellent attention to detail.
Ability to manage multiple priorities and deadlines in a fast-paced environment.
Strong written and verbal communication skills.
Excellent problem-solving and critical-thinking abilities.
Comfortable making decisions and adapting to changing priorities.
Proficiency with Google Workspace, particularly Google Sheets.
Ability to learn and effectively use scheduling and workforce management software such as Deputy.
Ability to handle confidential employee information professionally and discreetly.
Self-motivated and capable of working independently while contributing effectively to a team.
Experience in education, staffing, human resources, or employee scheduling is a plus.
